Cookies notice

Last updated:

NeoMind uses cookies and similar technologies to keep you signed in, remember your preferences, and measure how the Service is used. This notice explains which cookies we use and how to control them.

1. Categories

Strictly necessary

Authentication, session, CSRF protection, and load-balancing cookies. The Service cannot function without these and they are set without consent.

Functional

Cookies that remember dashboard preferences (e.g. dismissed banners, last-viewed tab). Set after first interaction with the relevant feature.

Analytics and session recording

We use two product-analytics services to understand how people use the NeoMind dashboard and its sign-up pages, so we can find where the product is confusing and improve it:

  • PostHog (PostHog Inc.), using its EU-hosted cloud. It records page views, clicks, the order of steps you take (for example, whether setup was finished), and session recordings that replay how pages were used.
  • Microsoft Clarity (Microsoft Corporation). It produces session recordings and heatmaps showing where people click and scroll.

Session recordings capture page layout and interactions, not what you type: everything typed into a form field is masked before it leaves your browser, and so is the content of your customers’ conversations, messages, transcripts and lead details, which appears in recordings only as blanked-out text. We link analytics to your account using internal identifiers (a user ID, your workspace ID, your role and plan) rather than your name, email address or phone number.

These services set first-party cookies and local storage on the NeoMind domain (PostHog’s cookie begins ph_; Clarity’s are _clck and _clsk) to recognise a returning browser and stitch a visit together. Microsoft may also set its own cookies on Clarity’s domain. Analytics is not used on the NeoMind staff console, on internal test accounts, or on demo pages.

Marketing

We do not currently set marketing or advertising cookies. If that changes we will update this notice and add a corresponding category to the consent banner.

2. Managing your choices

To opt out of analytics and session recording, turn on Global Privacy Control or Do Not Track in your browser (or a privacy extension that sends those signals). When your browser sends either signal, NeoMind does not load PostHog or Microsoft Clarity at all. You can also clear or block cookies in your browser at any time. Opting out of analytics never blocks access to the Service.

3. Consent record

Your consent choices are recorded against your account so we can demonstrate compliance and serve appropriate banners on subsequent visits. The record includes the timestamp, the version of the policy you accepted, and a coarse-grained device fingerprint (User-Agent string) for audit purposes.

4. Updates

If we change the categories of cookies used, we will re-prompt you to confirm your preferences.
